If you're preparing to exhibit at a trade show — whether it's Meble Polska or Warsaw Home in Poland, or international events like Euroshop in Düsseldorf, ISH in Frankfurt, Cersaie in Bologna, EUMO in Paris, or the London Design Festival — one of the first questions on your mind is: how much will this actually cost? There's no single answer, because the price of a trade fair stand design depends on a handful of specific factors. In this guide, we break those down so you can plan your budget before your first conversation with a designer.



What determines the cost of a trade fair stand design


1. Stand size and location


Larger stands mean more design and execution work — but the relationship isn't linear. A corner or island stand (accessible from multiple sides) requires a completely different design approach than a wall-backed stand, since every exposed "wall" needs to work as a standalone display.


2. Level of construction customization


The biggest price difference comes down to:

  • modular/system stands — pre-engineered structural elements, faster build, lower design and production cost,

  • fully bespoke stands — custom structure and unique forms, requiring more design work and often closer collaboration with the contractor during production.


3. Scope of the design service


A trade fair stand design isn't just a rendering. A full-service scope typically includes:

  • concept and functional layout (display zone, meeting zone, back-of-house),

  • technical drawings and 3D visualizations,

  • material and finish selection,

  • on-site construction supervision and installation support.

The more of these you hand over to your designer, the higher the budget — but the less you have to manage yourself.


4. Timeline


Trade show dates are fixed — they can't be moved. An expedited timeline (less than 4 weeks to opening) usually increases cost, since it requires prioritizing the project and faster coordination with contractors.



Typical price ranges

It's hard to give one universal number, since — as shown above — too many variables affect it. In practice, projects we've worked on span a wide range: from a few thousand PLN for a concept design of a small modular stand, up to tens of thousands of PLN for a fully bespoke structure on a large footprint with full construction supervision. The best starting point is always a conversation about your specific square footage, the trade show, and the scope of service you need — only then can you talk about a realistic quote.



How to prepare for a call with a designer


To get a fast, accurate quote, it helps to have ready:

  1. Stand size and location — ideally with a floor plan from the show organizer, if you already have one.

  2. Business goals — is the priority product display, space for business meetings, or both?

  3. A rough budget — even a range helps shape a fitting solution instead of designing blind.

  4. Reference materials — photos of stands you like (or don't) speed up finding a shared design language.

  5. Show dates — the earlier you start the conversation, the more options stay on the table.
